COOKIES POLICY – SWIFTCHARTING

Nationwide Psychiatry PLLC d/b/a SwiftCharting
Contact: info@swiftcharting.com
Effective Date: January 1, 2023

This Cookies Policy explains how SwiftCharting (“SwiftCharting,” “we,” “us,” or “our”) uses cookies and similar technologies when you visit our websites or use our online services, including our platform and applications (collectively, the “Services”). This Cookies Policy should be read together with our Privacy Policy and Terms of Service.

1) What Are Cookies?

Cookies are small text files stored on your device (computer, phone, tablet) when you visit a website. Cookies help websites function, remember your preferences, and improve user experience.

We also use similar technologies such as:

  • Pixels or tags (small code snippets that measure activity)
  • SDKs (software development kits in mobile apps)
  • Local storage (browser-based storage used to keep settings)
  • Log files (server logs that record activity)

For simplicity, we refer to all of these as “cookies” in this policy unless otherwise noted.

2) Why SwiftCharting Uses Cookies

We use cookies and similar technologies to:

  • Operate the Services: enable core functions like page navigation, login, session management, and platform features
  • Maintain security: detect suspicious activity, prevent fraud, protect accounts, and support secure authentication
  • Remember preferences: keep settings such as language, display preferences, and other choices
  • Improve performance: understand how visitors and users interact with our Services so we can improve usability and reliability
  • Support customer experience: help diagnose issues, troubleshoot errors, and improve support tools
  • Measure and improve marketing (where used): understand the effectiveness of marketing campaigns and website content
3) Types of Cookies We Use
A) Strictly Necessary Cookies (Always On)

These cookies are required for the Services to work properly and cannot be switched off in most systems. They are generally set only in response to actions you take, such as logging in, setting privacy preferences, or filling in forms.

Examples of what these cookies may do:

  • Keep you logged in during a session
  • Enable account authentication and secure areas
  • Support load balancing and platform stability
  • Help prevent fraud and abuse
B) Functional Cookies

These cookies help provide enhanced functionality and personalization.

Examples:

  • Remember your preferences (e.g., time zone, display settings)
  • Store choices that improve your experience
C) Performance / Analytics Cookies

These cookies collect information about how the Services are used (e.g., which pages are visited most often, how users navigate, and whether users encounter errors). This data helps us improve performance and user experience.

Important note: We aim to use analytics in a way that is proportionate and appropriate for a healthcare-focused platform. Where feasible, we use measures like minimizing data collection and limiting retention.

D) Security Cookies

Security-related cookies may overlap with “strictly necessary” cookies, but we call them out here because they are important for HIPAA-aware systems. They help us:

  • Detect unauthorized access attempts
  • Protect accounts and sessions
  • Reduce the risk of abuse, bots, or malicious traffic
E) Advertising / Targeting Cookies (If Used)

These cookies may be set by us or third parties to build a profile of your interests and show you relevant content on other sites. They can also be used to measure the effectiveness of marketing campaigns.

SwiftCharting may limit or avoid using advertising cookies in areas of the Services where doing so could be sensitive. If we use these cookies, we do so primarily on public marketing pages (not inside the authenticated clinical platform), and you can control them using the methods described below.

4) Third-Party Cookies

Some cookies may be placed by third-party service providers that help us operate and improve the Services (for example, analytics providers, customer support tools, hosting/security vendors, or payment processors).

These third parties may collect information directly from your browser/device under their own privacy policies. We encourage you to review their policies when applicable.

5) Do Cookies Collect Protected Health Information (PHI)?

SwiftCharting is designed for healthcare use and may handle PHI in the platform when customers enter clinical data.

In general:
  • Cookies used on our public website are intended to collect website usage and device information, not PHI.
  • Cookies used in the authenticated platform are used primarily for security, authentication, and platform functionality.

Covered Entity customers (providers/organizations) remain responsible for how PHI is used and disclosed under HIPAA, and SwiftCharting’s handling of PHI is governed by the applicable Business Associate Agreement (BAA) when SwiftCharting is acting as a Business Associate.

6) Your Choices: How to Manage Cookies

You have several options to control cookies:

A) Browser Controls

Most browsers let you:

  • View what cookies are stored
  • Delete cookies
  • Block all cookies or specific cookies
  • Set preferences for certain websites

If you block cookies, some parts of the Services may not function correctly, and you may not be able to log in or maintain a secure session.

B) Device Controls (Mobile)

On mobile devices, you may be able to limit tracking through your device settings. The available options vary by device and operating system.

C) Opting Out of Analytics or Advertising (Where Applicable)

If we use analytics or advertising cookies, you may be able to opt out through:

  • cookie banner settings (if enabled on our website), and/or
  • provider-specific opt-out tools.

Note: Opting out may limit our ability to understand usage patterns and improve the Services, but core functionality should still work.

7) Updates to This Cookies Policy

We may update this Cookies Policy from time to time to reflect changes in technology, law, or our practices. When we make updates, we will revise the Effective Date at the top. If changes are material, we may provide additional notice through the Services.
